Som-Bi (Partner-A-Trade) Refund Policy

1. Introduction

This Refund Policy outlines the terms and conditions under which refunds are processed for participants (hereafter referred to as Partners) of the Som-Bi (Partner-A-Trade) Agri Trade Nexus platform, managed by Walnan 4 Company Limited.

The policy ensures fairness, transparency, and investor confidence in all trade and partnership transactions facilitated through the Som-Bi platform.

2. Definitions

Partner: Any individual or entity that contributes funds to participate in trade, production, or investment opportunities offered under the Som-Bi program.

Trade Cycle: The agreed period within which a specific agri-trade investment or partnership is executed, completed, and returns are disbursed.

Refund: The process of returning funds contributed by a Partner under specific conditions outlined in this policy.

Project Manager: Walnan 4 Company Limited or its appointed representatives managing trade cycles and fund allocations.

3. General Refund Principles

Refunds will only be issued under conditions explicitly stated in this policy.

All refund requests must be made in writing and supported by valid documentation (such as payment receipts and trade participation reference).

Refunds are processed through the same payment channel used for the initial contribution unless otherwise agreed in writing.

Administrative charges may apply as detailed below.

4. Eligibility for Refunds

Refunds are only applicable under the following circumstances:

4.1. Pre-Trade Cancellation by Partner

If a Partner decides to withdraw before the trade cycle officially commences:

A written notice must be submitted at least 7 working days before the start of the trade cycle.

A 5% administrative and processing fee will be deducted from the total contribution.

Refunds will be processed within 10 working days from the date of approval.

4.2. Cancellation or Non-Commencement by Walnan 4 Company Limited

If a trade cycle is cancelled, postponed, or not executed due to unforeseen operational or market reasons:

Partners are entitled to a full refund (100%) of their contributions.

Refunds will be processed within 10 working days after the official cancellation notice.

4.3. Overpayment or Duplicate Transactions

In cases of overpayment or duplicate payments made by a Partner:

The excess amount will be refunded in full within 10 working days after verification.

4.4. Platform Error or Unauthorized Transaction

If a Partner’s account is debited due to a system error or unauthorized transaction:

The amount will be fully refunded after validation of the claim, within 10 working days.

5. Non-Refundable Conditions

Refunds will not be granted under the following circumstances:

1. The trade cycle has already commenced, and funds have been committed to production, procurement, logistics, or market operations. In such cases, partners can secure "exit" through the Som-bi Super liquidity process (Terms and Conditions apply)

2. Losses arising from market risks, climatic conditions, or other force majeure events (e.g., natural disasters, government restrictions) that affect trade outcomes.

3. Failure by the Partner to provide accurate bank or account information resulting in failed refund processing.

4. The Partner voluntarily terminates their participation after trade execution has begun.

6. Refund Process and Timelines

6.1. Submission of Refund Request

Partners must send refund requests to:

or submit through the Som-Bi Help Center on the platform.

The request must include:

Partner’s full name and identification number.

Transaction reference or trade cycle code.

Proof of payment.

Reason for refund request.

6.2. Review and Validation

All refund requests undergo internal verification by the Finance and Compliance Unit of Walnan 4 Company Limited.

6.3. Refund Approval and Disbursement

Once approved, the Partner will receive a confirmation email.

Refunds will be processed within the following timelines:

Full refunds: within 7–10 working days.

Partial refunds: within 7–10 working days (depending on the nature of deductions).

7. Refund Communication and Tracking

Partners will receive automatic updates via email or SMS at each stage of the refund process — request received, under review, approved, and disbursed.

All refund activities can also be tracked within the Partner’s dashboard under “My Transactions” → “Refund Status.”

9. Dispute Resolution

If a Partner is dissatisfied with the refund decision or timeline:

A written appeal may be submitted to refunds@som-bi.com within 5 working days after receiving the decision.

Appeals will be reviewed by the Som-Bi Compliance Committee, and a final decision will be communicated within 10 working days.

If unresolved, the dispute will be settled under the applicable laws of Ghana, where Walnan 4 Company Limited is registered.

10. Policy Amendments

Walnan 4 Company Limited reserves the right to amend this Refund Policy periodically to reflect changes in operational, financial, or legal frameworks.

All updates will be published on the Som-Bi (Partner-A-Trade) platform, and Partners will be notified accordingly.
